How do you walk through an eBay dropshipping break-even worksheet?

An eBay dropshipping break-even worksheet is a line-by-line sheet that takes you from AliExpress landed costeBay seller fees (from official Help for your site) → postage (what you pay and what the buyer pays) → optional Promoted Listings, until collected − costs − fees − ads − buffers = 0. Anything above that zero line toward your profit floor is a candidate to list; anything below is a raise-price, cut-ads, or skip decision—before you hit Publish.

This post is the hands-on worksheet companion to how to price AliExpress to eBay for profit. It does not invent fee percentages. Plug live numbers from:

Every filled example below is labelled Hypothetical. Seller Hub invoices and official Help win over any spreadsheet—including this one.

Official sources (open these before you fill a row)

Seller fees by site

Copy your category final value %, per-order threshold, regulatory / international lines and insertion status from those pages—not from a forum screenshot. Component maps: fees UK/US · fees DE.

Promoted Listings (optional line)

Ad rates and billing bases are campaign-type and account dependent. Set the candidate rate in Seller Hub → Marketing (or your site’s equivalent) and confirm Help wording for what “sale” the % applies to. Dedicated frame: Promoted Listings ROI. Do not invent a default “always 8%.”

Policy context

Blank break-even template (copy into a sheet)

Use one row per SKU / variation child you would actually order. Leave fee % cells as “Help lookup” until you open the live table.

# Line Your value Notes
A Marketplace site e.g. ebay.com / .co.uk / .de Wrong Help page = wrong sheet
B Account framing Individual/Store · private/business · Privat/Gewerblich Affects fee paths
C Category (fee row) Match the listing category
D AliExpress item cost Correct colour × size child
E AliExpress postage you pay Method you will actually use
F FX / remittance buffer Your rule—not an eBay fee
G Landed cost D + E + F
H Item price buyer pays
I Postage buyer pays
J Applicable taxes in “total sale” Only as Help defines the fee base
K Total amount of the sale (fee base) H + I + J as Help defines Confirm live wording
L Final value fee Help % × K No invented %
M Per-order fee Help fixed / threshold Cheap items often feel this
O International fee (if Help) Cross-border rules only
P Insertion / listing (if over allotment) Else £/$/€ 0 for this sketch
Q eBay seller fees subtotal L+M+N+O+P (+ VAT on fees where invoice adds it—not tax advice)
R Promoted Listings (optional) your rate × billed base or CPC model See ROI guide
S Returns / refund risk buffer Your rule
T Break-even check K − G − Q − R − S = 0 at break-even
U Profit floor Minimum you accept
V List decision Pass if T ≥ U Else raise price / cut ads / skip

Conceptual break-even: the sell total K at which T = 0. Your publish rule should be T ≥ U, not “hope volume fixes it.”

Workflow rules behind each line: profit-pricing.

Walkthrough: fill the sheet in order

Step 1 — Freeze marketplace and Help URL

Write A and B. Open only that site’s fee Help. US sellers should not paste UK business rows; DE Privat is not DE Gewerblich. Regional postage / VAT orientation (not tax advice): eBay UK dropshipping from AliExpress.

Step 2 — AliExpress landed cost (D → G)

From the AliExpress page for the exact variant:

  1. Item price for the child you will buy (D).
  2. Shipping method and cost to the destination you will promise on eBay (E).
  3. A small FX / surprise buffer if you remittance in another currency (F).
  4. Sum to G.

Do not price from a flash coupon you cannot repeat. Map colour × size children first if the grid is incomplete: variations / MSKU. Sibling source habits: Amazon → eBay · Walmart → eBay.

Step 3 — Postage on both sides (E, I, and the fee base)

Postage appears twice:

  • E — what you pay the supplier (cost).
  • I — what the buyer pays you (collected).

On US and UK schedules described in Help, final value is generally calculated on the total amount of the sale, which Help typically defines to include postage and applicable taxes—confirm exact wording and exceptions on the live page. That means “cheap item, expensive shipping” still attracts fees on the shipping portion when Help says so. Put that combined base in K.

If I does not cover E, the gap comes out of margin before fees even start.

Step 4 — eBay seller fees (L → Q) — no invented %

Open Help for C. Fill:

  • L category final value as Help % × K
  • M per-order fee from the Help threshold for this order total
  • N regulatory / operating line if your Help shows one (UK business Help describes an extra % of total sale—confirm the live figure)
  • O international fee only if Help says it applies to this buyer/delivery
  • P insertion only if you are over free allotment

Sum to Q. Prefer our UK/US and DE posts as maps of components, then overwrite every % with today’s Help numbers. There is no special eBay “dropshipping fee.”

VAT on eBay’s own fees (common UK invoice behaviour) is not modelled as tax advice here—Help often shows fees exclusive of VAT; your invoice may add VAT. Add a separate note line if your accountant requires it.

Step 5 — Promoted Listings optional (R)

Ask three questions:

  1. Will this listing run ads from day one?
  2. At what rate (or CPC) in Seller Hub?
  3. On what campaign type—%-of-sale vs CPC (ROI guide)?

If ads are off, R = 0. If ads are on, add R before you declare break-even. Underpriced + aggressive ads is a fast loss. Do not “turn ads on later” on a unit that already fails at R = 0.

Step 6 — Buffers, floor, decide (S → V)

Add returns buffer (S). Compute T = K − G − Q − R − S. Compare to profit floor U.

Outcome Action
T ≥ U with R = 0 Organic candidate
T ≥ U only with planned R Candidate if you will actually run that rate
T ≥ U only if you ignore Help fees Invalid—recalculate
T < U either way Raise H/I, cut R, change supplier ship, or skip
Pass only with VeRO-risky brand Skip (VeRO)

Step 7 — Review the eBay draft before List

Automation can fill price fields; it cannot forgive a wrong Help row. Prefer an editable draft (non-API eBay lister) and check item + postage vs the sheet, category vs fee row, and variation child costs. Listing clicks: how to list AliExpress products on eBay. First-batch habits: first five eBay listings.

Hypothetical worksheets (labelled — not quotes for your account)

Fee percentages are intentionally left as Help lookups or shown only as illustrative fee subtotals you replace. Ad rates are seller-chosen examples, not eBay recommendations.

Hypothetical A — Organic US-style sheet (ads off)

Hypothetical example (labelled for clarity). Assumptions for illustration only:

  • Site: eBay.com-style
  • AliExpress landed G: $18.00 (item + ship you pay + small buffer)
  • Planned total amount of the sale K: $39.99 (item + postage as Help would treat the sale)
  • Promoted Listings R: $0
  • Returns buffer S: **$1.0- Final value %, per-order, extras: look up on eBay.com Selling fees—do not invent them here
Line Hypothetical amount
K Total amount of the sale $39.99
G Landed cost $18.00
Q eBay seller fees Help rows on $39.99
R Ads $0.00
S Buffer $1.00
T Margin before floor $39.99 − $18.00 − Q − $1.00

Replace Q with live Help math (or the labelled numeric US walkthrough in fees UK/US). If T is below your floor U, raise K or skip—do not publish hoping for volume.

Hypothetical B — UK business sheet (postage in the fee base)

Hypothetical example (labelled for clarity):

  • Site: eBay.co.uk, business seller
  • Landed G: £14.50
  • Buyer item H: £28.00 · buyer postage I: £4.00 → planned K: £32.00 (confirm Help’s “total amount of the sale”)
  • Category FVF, per-order, regulatory operating fee: your business Help rowsFees for business sellers
  • VAT on eBay’s fees: not modelled (invoice may add VAT; not tax advice)
  • Ads R: none in this sketch
Line Hypothetical amount
K Total amount of the sale £32.00
G Landed £14.50
M Per-order Help fixed
N Regulatory operating Help % × £32.00
Q Fees subtotal L+M+N (+ note VAT-on-fees)
R Ads £0.00
T Before floor £32.00 − £14.50 − Q

Numeric labelled Toys & Games-style walkthrough with dated Help citations: again, fees UK/US. DE Privat vs Gewerblich structure: fees DE.

Hypothetical C — Same unit with optional Promoted Listings

Hypothetical example. Reuse planned K = $40.00, landed G = $20.00. You choose a Promoted Listings rate in Seller Hub—call it R% (your number). Confirm whether billing is %-of-sale or CPC in Help (ROI guide).

  1. Compute Q from Help on $40.00 (FVF + per-order + extras).
  2. Compute R ≈ R% × billed sale total (or expected clicks × CPC).
  3. T ≈ $40.00 − $20.00 − Q − R − buffers.
  4. If T < U, either raise K, lower R%, or skip.

Never treat “ads will pay for themselves” as a line with no math.

Hypothetical D — Break-even solve (backwards)

Hypothetical example. You need T = 0 with known G, known Help-derived fee function of K, and a chosen ad rate.

  1. Guess a candidate K.
  2. Recalculate Q(K) and R(K) from Help / campaign rules.
  3. Adjust K until K − G − Q − R − S ≈ 0.
  4. Then raise K further until T ≥ U.

Software estimates can speed the guess loop; they still need your Help rows. Soft path below.

Postage pitfalls the worksheet catches

  • Pricing as if only H attracts final value when Help includes postage in the sale total
  • Setting I below E and calling the gap “marketing”
  • Promising faster delivery than AliExpress transit allows (policy / returns risk → raise S)
  • Free-shipping offers that expire after you listed

Common mistakes that fake a “pass”

  • Hard-coding a forum “eBay takes ~X%” instead of the category Help row
  • Skipping per-order fees on cheap SKUs
  • Ignoring UK regulatory operating fee or DE Privat vs Gewerblich paths
  • Cross-border international fee surprises
  • Running Promoted Listings on a unit that already fails at R = 0
  • Listing branded goods to “make fees back”—VeRO removals cost more
  • Publishing ten near-duplicate singles instead of one clean multi-variation listing (allotment + buyer UX)

FAQ

Is this a free eBay dropshipping profit calculator with exact fees?

No honest sheet ships with hard-coded exact fees for every account. You need your site, category, Store/Shop status and live Help rates. This template + official Help beats a viral calculator with a fixed %. Companions: profit-pricing · fees UK/US · fees DE.

Do I include postage in the fee base?

On US and UK schedules described in Help, final value is generally calculated on the total amount of the sale, which Help typically defines to include postage and applicable taxes—confirm live wording and any category exceptions.

Should every worksheet include Promoted Listings?

No. Set R = 0 for organic-first break-even, then add a candidate rate only if you will actually run it (Promoted ROI).

Does a non-API Chrome extension change my eBay fees?

No. Connection method (non-API explainer) does not change the seller fee schedule. It only changes how the draft is filled.

Will these Hypothetical numbers match my Seller Hub invoice?

No. They are illustrative. Re-open Help on the day you price.

Does DS Lister Pro offer a free trial?

No. DS Lister Pro uses a paid trial model—not a free trial. Confirm live terms on select plan.
